JOB TITLE: Administrative & Service Associate

DESCRIPTION: To provides customer service, coordinate office tasks for design and production team

in support of the on-going operations in the office.



Customer Service ​

  • To provide customer service to new and existing clients by assisting them in helping them find the best solution for their design or signage needs.

  • To coordinate owner's calendar for appointments, and production team calendar for installations.

  • To assist in quality control when coordinating customer's sign or product pick-up.

  • To create estimates and invoices for customers, and follow-though to receive deposit and move the job onto design.

Administrative / Billing Tasks

  • To create estimates and invoices for customers, and follow-though to receive deposit/collect payments, and move the job onto design.

  • To become familiar and learn sign and design industry terms, products & services.

  • ​To become familiar with our Quickbooks, our price book, and quoting.

  • ​Light Bookkeeping 

    • A/R (Accounts Receivable) & A/P (Accounts Payable)

    • Check Mail Daily & Sort (Checks vs Bills)

    • Pay Bills - Must become familiar with accounts and keep track bills due.

Purchasing & Vendor Relations

  • To maintain good, professional  rapport with vendors.

  • To maintain office and warehouse supplies stocked.

  • To check-in and verify deliveries to office.

  • Occasionally pick up/ drop off items to vendors or customers.

Light Office Maintenance

  • Keep office supplies in stock.

  • Keep office printer supplies in stock.

  • Coffee area stock and maintenance.​


  • Office Administration or Customer Service Experience.

  • Great ability to multitask, work independently as well as a team, fearless and communicative.

  • Must be GREAT at follow through!

  • Reliable car and willing to travel within city limits. 

  • Organizational & Interpersonal Skills

    • Strong interpersonal communication and problem solving skills.

    • Excellent organizational skills with demonstrated ability to execute projects on time, independently.

    • Emphasis on time and quality management.

    • The ability to take ownership of decisions and responsibility for outcomes.

    • Willingness to continually embrace personal and professional development. 

    • Prioritizing Customer Service
